Privacy Policy
1. Who we are
Checky ("Checky", "we", "us") is an app and website at checkyapp.co.za, owned and operated by Rozanne Scott, Roodepoort, Gauteng 1724, South Africa. For the purposes of the Protection of Personal Information Act 4 of 2013 ("POPIA"), Rozanne Scott is the responsible party.
Information Officer: Rozanne Scott · checkdieapp@gmail.com
2. Who Checky is for
Checky accounts are for adults aged 18 or older, usually parents or guardians. Children do not use Checky or have accounts. Parents add information about their children, and they do so as the children's parent or guardian (a "competent person" under POPIA), giving consent on the children's behalf.
3. What information we collect
| Type | Examples | Where it lives |
|---|---|---|
| Account details | Email address, password (stored only in scrambled, hashed form), your name or role in a household | Your account |
| Household details | Parents' names, children's first names, household name, invite code | Shared with the other parent in that household |
| Shared children's information | Custody calendar, drop-offs and pickups, activities, school work, marks, teachers, school dates, holidays, trips, belongings, notes to the other parent, approval requests | Shared with the other parent in that household |
| Health information (special personal information) | Doctors, medical aid details, vaccinations, childhood illnesses, medication given, past operations | Shared with the other parent in that household |
| Money records | Expenses, amounts owed and paid, receipts and proof of payment, disagreements | Shared with the other parent in that household |
| Documents and photos | Court orders, parenting plans, birth certificates, school and medical documents, photos you upload | Shared with the other parent in that household |
| Personal space | Chores, shopping list, bills, pets and their records, your private communication log (calls, notices, messages) | Only you |
| Phone alerts | A technical address for sending notifications to your phone, if you switch alerts on | Only you |
| Technical information | Sign-in times, IP address and device or browser type in our service logs, used for security and fixing problems | Our service providers' logs |
We do not use advertising or tracking cookies. Checky stores a few small items in your browser (such as staying signed in and which household you last opened) so the app works.
4. Why we use it
- To provide Checky: show your information, share household information with the other parent in that household, and keep a record of changes and approvals.
- To send emails you need, such as account confirmation, password resets and household invites, and phone alerts you switched on (for example a change waiting for approval, or a pet vaccination that is due).
- To keep Checky secure, prevent misuse and fix problems.
- To handle payments for Premium or subscriptions, once these are offered.
- To meet legal obligations.
We process personal information on the basis of your consent, to perform our agreement with you (the Terms of Use), and to comply with the law. Health information about children is special personal information. We process it only because you, as the child's parent or guardian, choose to record it and consent to us storing it for you.
5. Who can see your information
- The other parent in a household can see everything in that household's shared space. If you belong to more than one household, each household is separate: people in one household cannot see another household.
- Your Personal space (chores, shopping, bills, pets and your communication log) is visible only to you.
- Service providers (operators) who process information for us under agreements that require them to keep it secure and confidential:
- Supabase: database, sign-in and file storage (servers in Ireland, European Union)
- Cloudflare: website hosting and domain services
- Brevo: sending Checky's emails (emails may include link tracking)
- Google, Apple and browser makers: delivering phone notifications, if you switch them on
- A payment provider, once payments are offered. We will name it here when it is added.
- Authorities, only where the law requires us to share information, for example under a valid court order.
We do not sell, rent or trade your personal information, and we do not use it for advertising.
6. Information sent outside South Africa
Our main database is in Ireland (European Union), and some service providers may process information in other countries. We only use providers that are bound by laws or agreements giving protection substantially similar to POPIA, as section 72 of POPIA requires. The European Union's data protection law (GDPR) provides such protection.
7. How we protect it
- Information is encrypted while it travels between your device and our servers (HTTPS).
- Database rules make sure people can only read households they belong to, and only their own Personal space.
- Uploaded files are stored privately and shown through short-lived links.
- A household can have at most two parents, and only with an invite code or email invite from that household.
No system is completely secure. If we become aware of a security compromise affecting your personal information, we will notify you and the Information Regulator as POPIA requires.
8. How long we keep it
- We keep your information for as long as your account exists.
- When you delete your account, your account details, Personal space and phone alert details are deleted. Any household where you were the only parent is deleted with all its records and files.
- A household you share with another parent is a shared record for both of you, so it stays available to the other parent after you leave. You are removed from it. If you want specific shared records removed, contact us and we will consider the request together with the other parent's rights.
- Service providers' backups and security logs may keep copies for a limited time (usually up to 30 days) before they are overwritten.
9. Your rights
Under POPIA you may:
- ask what personal information we hold about you, and receive a copy;
- ask us to correct or delete information that is inaccurate, out of date or unlawfully held (much of it you can correct yourself in the app);
- object to processing, or withdraw your consent. Withdrawing consent may mean you can no longer use Checky;
- delete your account at any time. See Delete your account;
- complain to the Information Regulator.
To use these rights, email checkdieapp@gmail.com. We may need to confirm your identity first, and we will respond within a reasonable time, normally 30 days.

10. Your responsibilities
Only add information about other people (such as the other parent, children, teachers or doctors) that you are entitled to share, and that is needed for co-parenting. Keep your password private.
11. Changes to this policy
We may update this policy as Checky changes. We will show the date of the latest version at the top. If changes are significant, we will tell you in the app or by email.
